1. The Data Controller

2. The Data We Collect About You
We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
- Identity Data: includes first name, last name, or similar identifier.
- Contact Data: includes email address, billing address, and telephone numbers.
- Financial Data: is collected securely and directly by our payment processor, Stripe. We do not store your credit card details on our servers.
- Technical Website Data: includes internet protocol (IP) address, browser type and version, time zone setting and location, operating system and platform.
- Software & Licensing Data (Emilcast): If you utilize our Digital Signage platform, our local software securely collects cryptographic Hardware Identifiers (HWID), local IP configurations to establish your private dashboard access, and automated license telemetry pings to verify subscription validity against our DRM servers.
3. Legal Basis for Processing Your Data
Under UK data protection law, we rely on the following legal bases to process your data:
- Performance of Contract: Where we need to perform the contract we are about to enter into or have entered into with you (e.g., providing web development services or Emilcast software licenses).
- Legitimate Interests: Where it is necessary for our legitimate business interests (such as software DRM verification and security) and your interests and fundamental rights do not override those interests.
- Legal Obligation: Where we need to comply with a legal or regulatory obligation (such as HMRC tax reporting).
4. Third-Party Data Processors
To operate our business effectively, we share your data with trusted third-party "Data Processors." We only share the minimum data necessary for them to perform their functions:
- Stripe: All subscription billing and payment transactions are processed securely through Stripe. You can view their Privacy Policy at stripe.com/gb/privacy.
- Netlify: Our website and web development client projects are hosted on Netlify's secure infrastructure.
International Data Transfers: Some of our third-party partners (such as Google or Netlify) may process data outside of the UK/EEA. We ensure they provide equivalent protections through standard contractual clauses.
5. Data Retention
We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
By law, we have to keep basic information about our clients (including Contact, Identity, Financial, and Transaction Data) for 6 years after they stop being clients for UK tax and HMRC purposes.
